What is it and how can you tell the "good" from the "bad"?

Inventory control software should "control" your inventory. If it doesn't do this effectively, it is merely inventory "correction" software.

Inventory control is knowing what to order, when to order, how much to order so that you can determine and maintain optimum stock levels. Everything else in the inventory control process simply supports this goal.

Optimum stock levels are very difficult to determine at any given point in time. Too much inventory results in excessive inventory taxes and storage problems. Too little inventory results in not having enough on hand to fill orders.

Modern inventory control programs have made the process much easier than the old 3 x 5 card and shoe box techniques of yesteryear. The right software can greatly improve inventory control; The wrong software can create more problems than it solves.

So, what should you look for when shopping for inventory management software that will solve your specific inventory control problems?

  1. Know what your problems are. Sounds simple but taking a few minutes to identify you specific inventory control issues (in detail) is the first step. We are not talking about a "wish list" here but rather a very specific statement of your inventory control problems and goals. You probably won't find it if you don't know what you are looking for! You may need to consult with an inventory control specialist but the money will be well spent if you successfully identify all of your requirements.
  2. Focus on inventory control. Related issues such as accounting support are important but will not contribute to the solution. Accounting software should always support your inventory control process, not visa versa.
  3. Be willing to adjust your inventory control practices if you can see that doing so will contribute to the solution. After all, if your existing practices were serving you well, you wouldn't have a problem.
  4. Choose software that is user friendly. It won't matter how good the software is if your clerks and warehouse people can't (or won't) use it.
  5. Choose software that has been designed to minimize data entry errors. Computers are a wonderful tool but remember the old adage "garbage in; garbage out!"
  6. Look at the Guarantees. Reputable vendors who have confidence in their product will always offer strong guarantees.
  7. Choose software that is strongly supported. Require reasonably priced (or free) technical support. Support should be available during your normal business hours.
